Can multiple records and files be upload onto Zutec?

How to Bulk/Batch Upload Records and Files to a Zutec Table

Creating individual records and attaching files is very simple on Zutec Online. However, if you are required to upload multiple records and attach files (e.g. uploading as-built drawings to an O&M Manual), adding records one-by-one can become tedious.

In order to combat this, you can use the Batch Upload and Excel Import tools to expedite the process.


Please note: You may not be able to access the Batch Upload and Excel Import features, depending on the table type or your permission level.


In summary, use the Batch Upload tool to import the files you need added to a table. Then use the Excel Import tool to import the data which will populate the table relating to the uploaded files.

Batch Upload Files

Right-click on the table you wish to upload the files to and click 'More Options'. The available table options will appear on the right-hand side of the screen. In the 'Table Data Option' section, click on ‘Batch Upload Files’. 



Click on the blue File Uploader and navigate to the folder where the files are stored on your computer. Click ‘Open’ once you have selected all the files you wish to upload.



All selected files will be shown in a list and ‘Transfer Complete’ will be displayed against each file as it is uploaded to the repository.

Excel Import

The ‘Excel Import’ function of Zutec can either be utilised as a stand-alone feature or used in conjunction with ‘Batch Upload Files’. The Excel Import feature is predominantly utilised to enter large sets of information into a single table in Zutec. Each line of the Excel spreadsheet represents a new record in a table.

Right-click on the name of the table you wish to Excel Import data into and select ‘More Options’. The available table options will appear on the right-hand side of the screen. Click on ‘Excel Import’.



When importing spreadsheets into Zutec, the headings must match exactly with those of the corresponding table in Zutec.  To ensure you’re working with the correct template, click on the ‘Download Template File’ button and then save the spreadsheet to your hard drive/network drive.



When you download the template file it already has the headings pasted into the first row – you will then need to complete this template with all of the required information.



Either enter the required data or copy and paste it in from an existing spreadsheet.



Please note: for Zutec to automatically match records with files that have already been batch uploaded (either via Batch Upload or the Edit Record screen), the file names (complete with file extensions) must be entered. Files must be uploaded prior to importing your spreadsheet.


Save this file to your hard drive / network drive.

From within the Zutec Excel Import screen click on the ‘Choose file’ button and locate the file you had previously saved. When you have found the file, then click on the ‘Upload File’ button.



This will automatically load all the data from the Excel spreadsheet into Zutec and match with the files uploaded using the Batch Upload function (if applicable).
